Overview

UIT University invites application for the position of “Supervisor Administration” in the HR &
Administration Department to ensure the safety and security of official assets, vehicles and
facilities. This role involves overseeing security operations, coordinating transportation services,
and overall assisting Senior Officer in the Administration affairs.

Responsible For
  1.  To oversee the management of office facilities, procuring office supplies, equipment, ensuring a clean, safe, and organized work environment.
  2.  To coordinate office maintenance and repairs as necessary.
  3.  To provide administrative support to various departments, including scheduling meetings, preparing reports, and handling correspondence.
  4. To assist in organizing company events, workshops, and conferences.
  5.  To maintain and update company databases and filing systems.
  6. To implement and enforce policies to ensure adherence to legal and regulatory standards.
  7. To develop and implement security policies, procedures, and protocols to safeguard employees, students, visitors, and university’s assets.
  8. To prepare duty roster for the security staff to ensure round the clock availability.
  9. To supervise security staff, providing training, guidance, and performance feedback.
  10. To assess competency of security staff regularly and recommend improvements.
  11. To renew the contract of security staff of external agencies as and when required.
  12. To coordinate with external security agencies and law enforcement as needed.
  13. To oversee the installation and maintenance of security surveillance systems.
  14. To monitor security cameras, alarms, and access control systems to identify and respond to potential security threats.
  15. To develop and implement emergency response plans for various scenarios, such as fire, natural disasters, or security breaches.
  16. To conduct regular drills and training sessions to prepare employees for emergency situations.
  17.  To oversee the transport management, ensuring vehicles are well-maintained, and drivers adhere to safety regulations.
  18. To monitor fuel consumption, vehicle maintenance, and daily log report to optimize transport efficiency.
  19.  To perform any other work assigned from time to time by the Reporting Head.

Educational Requirements

Masters and/or Bachelor’s Degree in the relevant field.
